BILLING SPECIALIST / FRONT DESK CUSTOMER SERVICE ASSOCIATE • FULL TIME

Overview

PERSAD Center's mission is to improve the well-being of gay, lesbian, bisexual, transgender, queer/questioning (LGBTQ) people and those affected by HIV/AIDS.

Performance Standards: Billing Specialist is responsible for:

  • All facets of billing for clients’ outpatient mental health and substance abuse treatment; medical assistance, Medicaid, Medicare, private insurance, and self-pay.
  • Verifying clients’ insurance eligibility and benefits. Requesting, coordinating and tracking of authorizations, including clients’ insurance and coverage changes
  • Verify client information/insurance prior to intake appointment. Contact client as to coverage/payment. Remind the client of their intake appointment
  • Determining and informing the clients of the projected cost of services, and if necessary-preparing and reviewing payment plans with clients
  • Data entry of clients’ services and fees using the SOS billing software
  • Processing of daily encounter forms
  • Preparation and submission of all claims, (electronically, via insurers’ websites and paper)
  • Processing payments received
  • Researching claim denials for re-submission
  • Reconciling the billing, payments and outstanding claims
  • Assisting clinical staff on billing requirements
  • Depositing daily receipts at the bank

Performance Standards: Front Desk Customer Service Associate is responsible for:

  • Answering phone calls, taking messages, greeting clients and visitors at the reception window
  • Direct visitors and provide information on meetings and events in the building
  • Daily assigning/scheduling of available rooms to the therapist using the scheduling software program
  • Call clients if the therapist needs to cancel their appointment, and to remind clients of their psychiatrist appointments
  • Create client profiles and update as necessary
  • Enter billing data into billing software program
  • Assisting clients with intake procedure, checking clients in for appointments, collecting co-pays and fees from clients, and recording the payments
  • Make copies of insurance cards and billing information brought by clients
  • Data entry into the SOS billing software of all clients’ information; demographic, insurance, fees, services received, admission and discharge
  • Printing encounter forms, client face sheets and fee agreements, generate additional reports as requested
  • Create and run reports as needed using Crystal Reports software
  • Review psychiatrist schedule each day, pull charts for them
  • Schedule follow up appointments for the psychiatrists
  • Print daily encounter sheets for therapists and record when clients arrive, are late or don’t show
  • Maintain all group rosters
  • Print client rosters, monthly treatment plans due rosters, quarterly account tracking forms and final tracking forms
  • Work with therapists/psychiatrists to assure needed signatures and prescription refills are completed
  • Fax encounter forms, fee agreements and all other necessary paperwork to the therapists at the Washington office
  • Email the controller with the total for the client credit card transactions on a weekly basis
  • Maintaining the clients’ charts in the file room and having the clients’ charts ready for the psychiatrists scheduled appointments.
  • Put outgoing mail through postage meter, distribute incoming information
  • Maintain paper supply in the reception copier
  • Open and close the office according to procedures assuring security

This is a full time position working 37.5 hours within the hours of office operations (M - TH: 9-9, F: 9-6)

Minimum qualifications are: 21+ years old, a high school diploma, 2 years billing experience and 1-2 years office experience. Accounts receivable experience preferred.

FRONT DESK CUSTOMER SERVICE ASSOCIATE • FULL TIME

Overview

Key Performance Area: Reception

The Front Desk/Customer Service Representative will:

  • Greet all visitors and clients making them feel welcome and answering their questions
  • Direct visitors and provide information on meetings and events in the building
  • Answer the phone preventing the majority of calls from going to voice mail
  • Maintain the lobby assuring information in brochure racks are up to date and the space is neat
  • Daily assigning/scheduling of available rooms to the therapist using the scheduling software program
  • Call clients if the therapist needs to cancel their appointment, and to remind clients of their psychiatrist appointments

Key Performance Area: Billing Support

The Front Desk/Customer Service Representative will:

  • Create client profiles and update as necessary
  • Enter billing data into billing software program
  • Make copies of insurance cards and billing information brought by clients
  • Collect co-pays and fees from clients, providing them with a receipt and recording the payment
  • Complete updated fee agreements with clients
  • Create and run reports as needed using Crystal Reports software

Key Performance Area: Administrative/Clerical

The Front Desk/Customer Service Representative will:

  • Email the controller with the total for the client credit card transactions on a weekly basis
  • Keep the file room organized; therapists’ drawers, discharged clients
  • Put outgoing mail through postage meter, distribute incoming information
  • Maintain paper supply in the reception copier
  • Open and Close the office according to procedures assuring security

Key Performance Area: Staff and Psychiatrist support

The Front Desk/Customer Service Representative will:

  • Review psychiatrist schedule each day, pull charts for them
  • Schedule follow up appointments for the psychiatrists
  • Print daily encounter sheets for therapists and record when clients arrive, are late or don’t show
  • Work with therapists/psychiatrists to assure needed signatures and prescription refills are completed
  • Maintain all group rosters
  • Print client rosters, monthly treatment plans due rosters, quarterly account tracking forms and final tracking forms.
  • Fax encounter forms, fee agreements and all other necessary paperwork to the therapists at the Washington office

LICENSED CLINCAL THERAPIST • FULL TIME

PERSAD Center is seeking a full time LCSW to do outpatient therapy with LGBT individuals and families. Drug and alcohol certification preferred but not required. PERSAD Center offers competitive salary and benefits.

Major Goal Areas

The Clinical Therapist is the principal provider of direct care clinical service at PERSAD Center. This position is a full time (37.5 hours/ week) salaried position. It is the responsibility of the Clinical Therapist to provide initial and ongoing assessment of each client to determine the most effective and useful counseling. The primary tasks of the Clinical Therapist are: assessing new clients; providing individual, couple and group therapy; maintaining adequate documentation that is required; maintaining accurate financial records; participating in supervision and providing emergency phone coverage as assigned. The Clinical Therapist works in the agency’s Mental Health Counseling center and may have a caseload of clients with drug and alcohol, mental health, HIV/AIDS, sexual or gender orientation concerns. The Clinical Therapist is supervised by and responsible to the Clinical Director or Clinical Supervisor as assigned. LCSW preferred but LPC or LMFT will be considered.
